You, Marco Yip, are serving as the secretary of the Senior Manager, Ms. Fiona Kuehn, in the Public Relations Department of SPACE International Company. It has been brought to the Managerâ€™s attention that certain colleagues in your company have incredibly low awareness towards the issue of confidentiality. After some investigation, it has been found that some employees in the department:
a) share Whats App conversations with their colleagues on public forums although they usually attract positive comments on the company
b) upload embarrassing photos and videos of colleagues via their private accounts on social media sites
c) keep the camera on when having private Zoom meetings with their friends and family during lunch hours in the office
Noting these inconsiderate, irresponsible habits and behaviors, the Manager and the senior management are very concerned as they could bring harm to the companyâ€™s image and invade its privacy while the colleagues concerned are unaware of such implications.
After having a meeting with Ms. Kuehn, you have been asked to write a persuasive email (250-300 words) to all the employees of the department. Instead of directly pointing out your colleaguesâ€™ mistakes and warning them in a harsh tone in the email, you have to tactfully
1) remind them about the importance of social media etiquette at work,
2) highlight how the companyâ€™s internal information as well as individual colleaguesâ€™ privacy
should be well respected and protected, and
3) convince all the colleagues to follow the code of conduct concerning the use of social media
